Summary:




As a member of the People Team, the Office Coordinator keeps our London office running smoothly whilst supporting coordination with our global SailGP hubs, helping create a welcoming, efficient workspace for all SailGP colleagues and guests alike. From managing supplies and coordinating meetings to supporting team communications, you’ll be the go-to person for all things office-related in our new HQ location in Kensington, London (January 2025). 




Key Responsibilities




Office Management



  • Establish yourself as the ‘go-to’ person for all office related queries ensuring smooth communication and support both face to face and via our internal communication channels. 

  • Build a strong relationship with our building provider, acting as the go-to person for employee passes, maintenance issues, cleaning and deliveries as required. 

  • Manage office inventory ordering stationery supplies as necessary and ensuring the snack cupboard is well stocked each week!

  • Partner with internal teams to deliver exceptional hospitality and provide seamless support for all office visitors, coordinating meeting room reservations as needed.

  • Maintain high office standards across all elements from post organisation to coffee machine upkeep (and more!).

  • Ensure all office operational procedures, including Health and Safety, First Aid and Fire Safety are kept up to date.

  • Supporting the office relocation and settling in period suggesting any changes or building out office protocols. 

  • Own the London Office guide, keeping this up to date and ensuring it’s accessible to all supporting the development of other SailGP hub guides. 

  • Other ad-hoc office management pieces. 


 


Employee engagement:



  • Own the SailGP intranet page ‘The Hub’ collaborating with stakeholders to ensure the relevant updates are completed and access given to keep everyone informed of company news, team achievements and upcoming events.

  • Lead the ‘office vibe’ organising regular social events and celebrate cultural moments suggesting opportunities of how we can bring these to life across our global hubs creating an inclusive office culture. 

  • Acknowledge employee birthdays, work anniversaries and other milestones with small celebrations, cards or group announcements via SailGP channels and screens.

  • Organise SailGP awards such as the bi-annual leadership awards, quarterly awards and ‘anchor’ awards at the end of the year and vouchers associated with this. 

  • Support the operational elements of lunch-and-learns, speaker sessions and training workshops. 


 


Administration:



  • Provide ad-hoc administration support to the wider People Team.

  • Support with the upkeep of some of our employee systems such as HowNow and ClassPass, adding and removing new starters/leavers from the platforms as required.

  • Organisation of employee gifts as and when required. 

  • Support with the curation and distribution of the ‘People Pulse’ employee engagement newsletter each quarter. 

  • Sending out any ‘People’ related comms or calendar invites on behalf of the team. 

  • Working closely with the SailGP retail team to support the distribution of staff uniform alongside new starter ‘stash’ allocation with the People Coordinator.

  • Supporting the SailGP EA on occasions with administrative tasks.

Location:




SailGP London Office currently based in Hammersmith, and moving to Kensington in January 2025.




Due to the nature and responsibilities of this role we will require this individual to be in the office 5 days per week.
