Your New Role…
The Production Operations Beeline/WBD Systems Coordinator provides support to our Sports Production and Technology and Operations teams, by managing of our large external freelancer worker population across WBD system. You will be responsible for ensuring the freelance worker population used across Sports and Operations are correctly onboarded, managed (IR 35/ Provisioning and access) and tracked in multiple systems and in accordance with WBD policy. You will work in partnership with our Sports Production, Crew Booking, and Flex Talent teams, ensuring the workers booked across our broadcasts are able to deliver to the highest standard.
This role may require occasional weekend and evening work as large productions dictates, but predominantly standard office hours will apply. Flexibility is key and from time to time there may be a requirement to work from different sites within the WBD portfolio. The role is based out of our west London offices (Chiswick and Stockley Park).
Your Role Accountabilities…
· Ensuring all workers booked by WBD sport/operations teams are correctly onboarded working in partnership with our external workforce supplier.
· Assisting Production teams in ensuring their workers are onboarded in line with IR35 and WBD policy.
· Updating WBD’s central booking tool with the correct roles and rates for workers to help production teams with budget tracking and reporting.
· Working with WBD Managers and IT teams to ensure all workers booked have access to the required IT and systems to deliver their roles.
· Overseeing external workers contract renewals and extensions, working closely with our Flex Talent and Finance Approval teams.
· Update, maintain and distribute independent contractor information across relevant teams and systems.
· Liaising with internal teams to ensure all requirements are correctly requested and captured in advance.
· Supporting managers to gather correct financial information for workers and productions and ensuring that information is correctly captured across our systems.
· Attend weekly crewing meetings to ensure information is proactively captured and correct across all teams.
· Organise training of new freelancers.
· Support internal & external contributors to navigate corporate systems, to ensure smooth workflows on site.
· Other duties as required
Qualifications & Experience…
· Strong organizational skills, attention to detail and administration experience required.
· Understanding of a live production workflow and the roles required to deliver a production is highlight beneficial.
· An understanding of IR35 is preferred but not essential
· Knowledge of systems such as Beeline, Provys and MediaPulse is beneficial.
· Understand scheduling systems and rostering restrictions.
· Self-motivated & strong problem-solving approach required.
· Proactive self-starter, with a drive for enhancing workflows and processes
· Ability to work well under pressure and to strict deadlines
· Ability to work with minimum supervision and use own initiative with confidence
· Strong team player with the ability to motivate, develop and inspire others with solid interpersonal skills.
· Experience working across multiple productions simultaneously.
· Excellent verbal and written communication skills
Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement where this is essential to business needs and upon reasonable notice to you.
